A LETTER FROM LEONARD ORTHODONTICS RE: COVID-19
With more and more cases being reported of COVID-19 in Massachusetts, you may be wondering how this affects Leonard Orthodontics and our patients. As always, the health and safety of our patients and staff comes first.

We will continue to be open to see our patients as usual. As always, we will follow OSHA guidelines for infection control. We will be following CDC recommendations as we learn more about the virus. We have increased our disinfection protocol and our deep cleaning schedule of heavy trafficked areas in the clinic.
During the cold and flu season, we ask you to reschedule your appointment if you feel ill, have experienced a fever in the last 24 hours, or feel you have been exposed to someone with these symptoms. This is to not only protect our patients and staff from Coronavirus, but from the regular cold and flu.
We also want to remind you that at this time patients are only allowed in the office during their scheduled appointment.
Now that school has been in session and the colder weather is approaching, please keep in mind if your child walks from school to their appointments, there is no waiting area for them.
While many Covid-19 infections may be mild, we want to put forth our best efforts to protect our vulnerable community members by decreasing the spread of any infection. Most people visiting Leonard Orthodontics are healthy and able bodied, but we don’t want to spread any infection to a patient’s grandparents or young children who are more at risk. Also, by slowing the rate of infection we can decrease the burden put on our hospitals and doctors. We care about our community and want to do all we can to keep everyone safe.
There are preventative measures you can take to protect yourself and our community:
• Wash your hands often with soap and water or use an alcohol-based hand sanitizer.
• Cover your mouth and nose with your elbow or a tissue when you cough or sneeze.
• Avoid touching your eyes, nose, and mouth if your hands are not clean.
• Avoid close contact with anyone who is sick.
• Clean surfaces you often touch.
• Stay home from work, school, and public areas if you are sick.
This sort of event can really highlight the humanity we all share and the caring we can show for one another as a community. If you have any questions, feel free to call our office. Thank you for taking precautions and taking care of yourself and others in doing so.

OUR SAFETY GUIDELINES AND PRACTICES

SCHEDULING OR RESCHEDULING AN APPOINTMENT:

We are now available to schedule appointments. We ask for your patience as we are operating on a limited schedule initially and making every effort to prioritize the most urgent needs. If you are rescheduling an appointment, please be patient as our scheduling coordinators will be contacting you.
If you are scheduling a new appointment with our office, please call 978-687-3500. We’ll be happy to answer an questions regarding our safety protocols and discuss any paperwork requirements prior to your visit

BEFORE YOUR APPOINTMENT:

If you, or your children, are not feeling well, or if you believe anyone in your family has been exposed to COVID-19, then do not come in for your scheduled appointment, Instead, please let us know and we will work to reschedule your routine appointment.
This applies to all patients who have had a fever, cough, or shortness of breath within the past two weeks.
Please help us be efficient with your time.
If there is need to update any patient, medical or insurance information prior to your child’s appointment, please try and communicate with one of our Appointment Coordinators in advance.

DURING YOUR APPOINTMENT:

Please plan to be on time for your scheduled appointment as we stagger appointments between patients to maintain distancing guidelines. For these reasons, we may reschedule the appointment for any patient who is excessively late to arrive.

1. A brief health questionnaire and an informed consent form will be texted to you the day of prior to your appointment.

2. When you arrive please text our office 978-470-3700 to check-in. We will text you back when we are ready for you to head into the office.

3.Everyone will be asked to provide and wear their own face mask to their appointment, as we are working hard to conserve our PPE.

4.Everyone entering our office will have their temperature taken, (temperature greater than 99.6 degrees will be not be seen and will be rescheduled )

5.Any child who does not have an appointment will be asked to wait in their car with a parent . We encourage all parents to remain in their car during their children’s appointment. We will gladly text you at the conclusion of the appointment and the next appointment scheduled.

OUR SANITATION PROTOCOLS:

A properly managed dental office has always been a very safe environment for patients, staff and doctors. Here is what we’re doing to ensure patient health is protected during your visit:

We sanitize our public areas such as check-in and check-out areas, tables, door handles and other hard surfaces after each patient visit.
We thoroughly clean each clinical room including wiping down all potential areas of contact such as doorknobs, chairs, and equipment with medical grade disinfectant wipes between each patient.

Our office is being vigilant about frequent hand washing and regular use of hand sanitizer between each patient encounter, as is standard for our practice.

Doctors and clinical staff have been trained in the proper use of personal protective equipment to include masks, shields, goggles, and gloves as per CDC recommendations for direct health care facilities.
We instruct any employee who feels ill to stay home and consult their healthcare providers.

My Orthodontist’s Office Has Reopened. Is It Safe to Go? | American Association of Orthodontists

Dear Parents and Patients,
We hope this letter finds you and your family in good health. Our entire team is looking forward to getting back to the office and providing care for our patents. While many things have changed, one thing has remained the same, our commitment to the safety of our patients and staff.

Infection control has always been a top priority for our office. We use state-of-the-art sterilizers and have customized ADEC stations which support a one direction sterilization system preventing cross contamination of instruments. We maintain and monitor our dental equipment and water lines with scheduled maintenance protocols and weekly tests. These tests run are then submitted to a third party for processing and interpretation of results. The infection control procedures we have always followed in our practice have allowed us to keep patients safe as well as protect our staff.

We follow the infection control guidelines set forth by the American Dental Association (ADA), the U.S. Centers for Disease Control and Prevention (CDC) and the Occupational Safety and Health Administration (OSHA). We remain proactive in monitoring activities of these agencies so that we remain up-to-date on any new rulings or guidance that may be issued. We do this to make sure that our infection control procedures are current and adhere to each agencies’ recommendations.

The office plans on reopening in the coming weeks and are in the process of finalizing new policies, implementing additional clinical precautions and working tirelessly to create a new schedule. The new scheduling process will take into consideration social distancing requirements and additional safety protocols necessary for specific aerosol producing patient procedures. We want to inform you that when we re-open we will have new precautions in place to ensure everyone’s safety.

As you can imagine numerous patient visits are being reappointed. We are managing each patient’s appointment and adding them to the office’s new scheduling format in order to ensure everyone’s safety. We ask for your continued support and patience as we highly value each one of you.

Our office will continue contacting patients via email, text or phone calls in the coming days in order to prioritize your next in office visit. If you have already submitted photos and received a call or email from Dr. Gangoy or another member of our staff, you can assume your next appointment has been managed and added to our Revised Patient Appointment Schedule.

Within the next few weeks, we will be contacting patients with a date and time of their reappointed visit which was added to our Revised Patient Appointment Schedule. If you have not already done so, we strongly recommend you contact our office immediately at (978)-470-3700 to receive further instructions on how to take and submit the intra-oral photos. Doing so will help us expedite prioritizing your visit so we can add you to the revised appointment schedule and ensure you have a reappointed visit once the office re-opens.

Why did we need to revise our Patient Appointment Schedule Format?

Patient appointments are associated with specific treatment procedures. Some procedures have higher potential than others of generating Bio-Aerosols. Appointments have been prioritized by the procedure the patient will have at that visit and the level of aerosol production. Most orthodontic treatment visits are associated with low generating aerosol procedures and usually pose limited risk to our staff. Procedures that involve splatter of water or saliva have higher chances of creating aerosols and thus increases risk of exposure to everyone at the office. We have revised our patient appointment schedule to allow for social distancing and provide specific scheduling times for higher aerosol producing visits. In an effort to do our best to comply with new guidance, our new scheduling format currently allows for greater time between patients, reduces exposure risk to both our patients and staff, and reduces the number of patients in our office at any one time. When taking all of this into consideration, it became evident that we had to consider a different approach when rescheduling patient appointments during these unprecedented times. We look forward to seeing you again and are happy to answer any questions you may have about the steps we have taken to keep you, and every patient safe in our practice.

As a result of the additional precautions we are following, we would like to make you aware of several changes we have already implemented to further protect our patients and staff. A few examples are:

Before your appointment:

• We will contact you the day before your visit to confirm your appointment and ask some wellness screening questions. Please be aware ONLY patients will be allowed in the office, we ask that parents and family members wait in the car.

• ALL patients must bring and wear a mask to their visit. Our brushing stations will be closed, so please brush and floss before you come for you visit.

• Do not eat or drink anything extremely hot or cold 30 minutes before your visit (it can alter your body temperature). Please be aware, your visit will be reappointed to a different day in the event of a temperature reading above >100.4 F

Arrival at Office:
• When you arrive, Call or Text (978)-470-3700 letting us know you have arrived. Please remain in the car until we text you back letting you know it is safe to come in. Patients must be wearing a mask before entering the office - NO EXCEPTIONS CAN BE MADE. When you come in, you will immediately be met by our Staff Greeter.

• Greeter will take your temperature, ask you Wellness Screening Questions, and then offer you some hand sanitizer to clean your hands. NO CELL PHONES ALLOWED from this point, please turn ringer off. We require all patients to use a Pre-Procedural mouth rinse before being es**rted to your treatment chair.

• Orthodontist /Assistant will be dressed in PPE and ready to preform your visit. **All patients will need to wear their mask until we start the procedure and will be asked to replace it once your visit is done. After treatment is completed, our Greeter will es**rt you back out.

• ONLY Patients will be allowed into the office. We understand the concern parents or guardians may have about this policy, please understand this is being done out of concern for your health, that of your child, as well as out of concern for our other patients being seen in our office. If you have additional concerns or extenuating circumstances, please contact our before your appointment.

Fewer Scheduling Options:

• We will continue managing all appointments and continue to prioritize aerosol generating procedures to ensure your safety at every visit.

• Scheduling coordinators will be offering fewer options when scheduling patient appointments. If your following visit can be monitored appropriately with Telehealth, we may recommend that as well.

Telehealth

• Triaging of all patient emergencies will be mandatory prior to setting up an emergency visit.

• We will integrate Telehealth as a part of patient care, when appropriate. It will allow patient treatment to continue moving ahead with less office visits.

[04/27/20]   As Massachusetts continues to move through what is believed to be the peak of the COVID-19 pandemic, the Massachusetts Dental Society (MDS), CDC, ADA, Massachusetts DPH and Governor Baker’s administration has extended our closure through May 18th.

We will continue to monitor the recommendations and will be modifying these dates if needed.

While the office must remain closed and as a result, we may be postponing your routine care visit, know that the materials we use today for orthodontic treatment have the ability to move you toward our goals for quite some time.

For patients in braces, be assured that we use long acting wires that continue to work for several months. For our patients in aligners, if you have been wearing them as instructed, your treatment is progressing even though you are not here for an office visit.

Nevertheless, we know you may have questions about your treatment progress. In an effort to address those questions during this challenging time we are strongly recommending virtual visits for all our active patients and ask that you contact our office immediately at [email protected] to receive further information on how you can go about scheduling one.
